Deploying security personnel in the community is one of the fundamental responsibilities of an Apartment Association. While there is no dearth of security agencies out there, the operational efficacy's of these agencies is not at a high standard. Hence the onus falls on your association committee to set the right expectations with the agency and their personnel in order to safeguard your apartment.
Following are key guidelines and tasks that every apartment association should get a buy-in from their security vendors and their personnel:
● The Security guard should inspect and patrol premises regularly.
● The Security guard may engage the pumps that supply water to the overhead tank
● The Security guard has to monitor and report the water levels on a 4 hourly basis
● In case of power failures, the security guard should engage the diesel generator
● Monitor and document every visitor that enters the apartment
● Authorize entrance of visitors and vehicles.
● Report any suspicious behavior and incidents to the association
● Monitor surveillance cameras and report any unusual activity
● The security agency must maintain the personnel employed in the apartment for a minimum period of 1 year unless absolutely needed. Any change in personnel should be made after consulting with the association member
● Security guards deployed in the apartment must work or have worked only one 12 hour shift per day. The agency may not deploy guards on double shift unless there are special circumstances. Any such deployment needs to be authorized by the Association.
● The agency must deploy a Security supervisor for random quality checks on the security personnel deployed on location.
● The agency must provide all verification information and documentation on the deployed personnel to the Association.
● If security guards so deployed by the contractor found sleeping/absent from the duty post/found under the influence of liquor/shabby uniform, the association will deduct a single work day payment from the monthly invoice. If this behavior is found to be repetitive, then the agency has to replace the security guard and bear the penalty for the said days.
● Any loss, theft or damage occurring due to any security lapse of contract‘s men/guard will be reimbursed by agency.
● Guests, vendors and all non-residents are being given access via the apartment management app. The security personnel should be well versed with the application and must operate it without any interruptions. Any lapse found will incur a minimum fine of up to 500/- INR on the agency for every instance.
● All the courier’s that are received by security must be notified to the residents with appropriate entries in the logbook and be delivered appropriately without fail.
